Documented Site Support: What a Useful Client Report Contains

How site teams can use service records to improve accountability and reduce handover disputes.

Fresh Joy Site Support · 13 October 2026

How site teams can use service records to improve accountability and reduce handover disputes. This guide is a practical starting point; final scope and safety arrangements should be agreed for each site.

Attendance and scope

Record the service date, location, tasks scheduled and tasks completed. Distinguish an attended visit from a completed scope.

Visual evidence

Use photographs where appropriate, with clear locations and timestamps. Avoid capturing personal or sensitive information unnecessarily.

Exceptions and actions

List inaccessible areas, defects, consumables shortages and work not completed, with owners and next steps.

Supervisor review

Define which work requires checking and how corrections are recorded. A digital form is only useful if the data is reliable.

Close-out and retention

Agree client sign-off, export formats, access permissions and how long reports are retained.
